E-conomic system improvements

The 1st of December 2009

The December market package was released this morning. It contains a whole bunch of E-conomic improvements, including a new accrual feature

New feature - Accrual of sales invoices

It is now possible to accrue sales invoices over more than one period. This feature will typically be used when selling services such as hotline support or subscriptions.

For customer invoices created in the day book, the whole amount is accrued in the same way as purchase invoices. In other words, you specify the accrual account, the start date and the end date on the day book line when creating the invoice.

For customer invoices created on the Sales tab, you can specify for each invoice line whether it should be accrued and the accrual period (start date, end date). This requires that the product group of the item on the line has an accrual account assigned.

The actual accrual entries will be posted periodically when the user runs the accrual batch job. There is only one accrual batch job that posts both sales and purchase accruals at the same time.

A new field has been added to the accrual report allowing you to select if you want to see purchase or sales accruals in the report.

Enhancements

  • It is now possible to add a credit limit to a customer. If you create an invoice to a customer who has exceeded his credit limit, you will be issued a warning that the customer’s limit has been exceeded. If booking an invoice that will exceed the limit, the system issues a warning. You can ignore the warning, if you want to proceed with the sale even though you have exceeded the credit limit.
  • In Report Designer, the previous limit of 10 affiliated companies has been raised to 25.
  • When entering the invoice number in payments in the day book, the currency is now set to the currency of the original invoice and not to the default currency of the customer/supplier. This is the same behaviour as the remainder amount and the customer/supplier already exhibits.
  • In the pop-up window that you can access by pressing drilldown on a number in the profit and loss report, a new column has been added to show the project number of the entries.
  • A checkbox has been added to the Outbox called “Show only failed”. When selected, only e-mails and electronic invoices where delivery to at least one recipient failed will be shown.
  • In both the aged creditors and aged deptors reports, a new dropdown box called "Currency" has been added. Selecting a specific currency will only show entries in that currency in the report and all amounts will be in that currency. Selecting "Converted" will show all amounts in the base currency.
  • A new “Due” column has been added to the customer list showing the part of the customer’s balance that is due.
  • In the pop-up window that you can access by clicking the “Show transactions” button, two new columns have been added to show the project number and the department number of the entries.
  • A column has been added to the list of entries in the day book showing the department number of the entries.
  • When reversing a reminder, a date field has been added in which the booking date of the reversed reminder can be specified.
  • In the administrator list (Settings -> Administrators), it has previously only been possible to select administrators registered with e-conomic in the same country as the company. Now, a “Country” dropdown has been added, allowing a company in one country to select administrators from other countries.

Bugs fixed

  • To improve the overall speed of the application, the budget report has been optimised to run faster and put less strain on the database.
  • Report Designer now supports several items on each row. For instance, a row with finance code A.1 holds items “1-4, 7, 9”, i.e. it refers to all accounts in the closing sheet with finance code A.1 and item set to 1, 2, 3, 4, 7 or 9.
  • The name of the Profit/Loss report was inconsistent with the top headline. This has been fixed so they are now both “Department profit/loss”.
  • In Bookkeeping -> Find entries, a crash no longer occurs when the filter results in more than 25,000 entries. Now, the system displays an error message instead.
  • In the API, contra account is now set on projects.
  • When booking payments against manual customer invoices, entering the invoice number now correctly picks up the remainder.
  • In the day book matching window, for customer entries, both invoice and entry numbers are now shown.
